Servicios ExtraordinariosDuty rosters and overtime for operational services

The complete overtime service cycle, from offer to payroll: publication with a deadline, fair allocation, rosters in line with the collective agreement, calculation at the current rate for each date and the record or decree generated from the data itself. 01 · What it solves

Overtime
gets paid months later.

Between someone covering a weekend night and that amount reaching their payslip, there is a process that in most organisations lives in spreadsheets, paper lists and stray emails: who signed up, whose turn it was by fair allocation, which hours were night-time, which rate applied that day and who signs the decree. Servicios Extraordinarios captures that entire process, and every transition is audited.

The deadline rules, not the phone call

The service is published with a closing date and notifies everyone who meets the requirements. Nobody finds out through the messaging group or by happening to be around.

Fair allocation, not first come first served

Signing up doesn't guarantee a place: places are allocated to whoever has the lowest total for the year. And when that order has to be departed from, the adjustment is justified.

The rate on the day, not today's rate

Each hour is valued at the amount in force on its date. If the collective agreement changes in March, February's hours are not recalculated.

02 · Four modules

Four pieces,
one single cycle.

This is not a catalogue of modules bought separately: they are the four phases every overtime service goes through, and they go together because each one needs the data from the previous one.

01

Offer and allocation

Publication with a deadline and phone notification, requirements by qualification, fair allocation and justified adjustments when the expected rota has to be departed from. A service is not a list of identical places: one inspector, two sergeants and five officers is a single publication, and the list shows how many each post has filled.

02

Roster and requests

Rotation cycles in line with the collective agreement, dual control of minimum staffing and complement, and swaps and leave with their counterpart, so that no one is left uncovered.

03

Calculation and settlement

Daytime, night-time and public holiday bands at the current rate for each date, hours bank, frozen monthly close and submission to payroll.

04

Records and decrees

The official document is generated from the data, with the organisation's letterhead and in its language. Nothing already in the system is transcribed by hand.

Each service shows where it is in the cycle and what its next step is.

03 · How it works

The status moves on by itself,
and leaves a trail.

The deadline closes sign-up, the engine selects, the shift supervisor certifies and the calculation values it. Nobody changes a service's status by hand, and that is why the case file stands up to an audit.

The shift supervisor certifies who provided the service. Until they do, the calculation values nothing.

04 · Who oversees

The councillor's department and the Comptroller's Office
look, they don't ask.

  • ✓ Spending for the period charged to payroll, at the rate in force on each date
  • ✓ Breakdown by cause: where each hour came from, not what it was spent on
  • ✓ Hours and amount by type, with the public holiday window and the night-time band set by the collective agreement
  • ✓ Aggregate-only access: those overseeing cannot see personal details, and every query is logged
  • ✓ Oversight report as a PDF, generated from the same data as the settlement
05 · Settlement

The month's close
is frozen.

Validating the close freezes the month's calculations, and submitting generates the payroll file. Reopening requires a reason, because it unfreezes amounts already sent to payroll: that reason becomes part of the case file and is audited.

The ID number (DNI) is shown masked. The full number only travels inside the payroll file, which is downloaded and never displayed on screen.

05 · The staff member

Finds out and signs up
from their phone.

  • ✓ Notification when a service is published for which they meet the requirements
  • ✓ Sign-up within the deadline, without calling anyone or signing a list
  • ✓ Their hours bank and calculations, always visible
  • ✓ Swaps and leave with a counterpart, without paperwork going back and forth
  • ✓ Installs on the phone from the browser, without going through the App Store or Google Play: a change is published the same day, with no store review or approval from the organisation's MDM

As standard you get the four modules, the staff app and the oversight dashboard. Tailored are the integrations with each organisation's HR or payroll system and the initial loading of the collective agreement.

06 · Compliance and architecture

Whatever is paid
has to be justifiable.

Servicios Extraordinarios is designed in line with the Spanish National Security Framework (ENS) at High level and applies data protection by design: formal certification of the system always lies with the owning organisation. Every status transition, every justified adjustment and every oversight query is logged, which is what supports a case file when someone reviews it.
